The International Organization for Migration is seeking qualified Nepali Nationals for the following position based in Charikot.

Position Title: Admin/ Finance Assistant -1 position
Classification: Special, 3 months with possibility of extension, ungraded (equivalent to Grade -4)
General functions:
Under the overall supervision Nepal Earthquake Response Manager, and under the direct supervision of the Head of Sub Office-Charikot, the successful candidate will be responsible for supporting the IOM’s humanitarian program activities in Nepal.

Major Duties and Responsibilities:
Administration Functions
- Ensure staff fills leave form before going on leave and forward it to Kathmandu HR for central record.
- Ensure accuracy and completeness of Daily Time Record and Attendance Record of daily staff if any.
- Assist in ensuring staffs who are being separated comply with separation procedures and clear all accountabilities.
- Assist staff in preparing travel authorizations and maintain its record.
- Assist Head of Sub-Office in administrative jobs.
- Ensure office premises maintain cleanliness by supervising office cleaner.
- Review and ensure all supporting documentation and signatures are obtained before finalizing vouchers; verify invoices and ascertain that the equipment, supplies or services they refer to were duly received or provided before proceeding with payment request.
- Ensure travel claim by staff follows correct DSA rate, exchange rate with all support documentation.
- Identify, confirm and record personal staff accountabilities for phone and vehicle usage.
- Maintain the cash report and prepare cash certificate.
- Handle banking transactions, collect bank statement and submit bank report with original bank certificate to Kathmandu Finance.
- In coordination with Procurement, conduct physical count of assets semi-annually and ensure accuracy of Asset Register.
- Proper recording/filing of hard copy of financial documents.
- Perform other duties that may be assigned.
- Secondary education is required
- 4 years of relevant work experience;
- Experience of working in emergency situations highly desirable.
- Familiar with excel spreadsheets, word processing
- Ability to work effectively and harmoniously within a team from varied cultures and professional background
- Willingness to work in a hardship condition
