JOB OVERVIEW
The post holder will be responsible for providing administrative support to the Nepal response team. In particular the Administrative assistant will work closely with HR, Logistic and Finance supporting them in day to day activity. Admin Assistant will also provide secretariat support to Tearfund Nepal Team.

POSITION IN ORGANISATION
       Grade: 8
       Reports to: HR Officer
       Works closely with the Logistics Officer and Finance Officer and other members of the Nepal Response Team
ORGANIZATIONAL REQUIREMENTS

      The post-holder will, at all times, carry out their responsibilities with the utmost respect for the protection of children in accordance with Tearfund’s Safeguarding Policy.
      The post-holder will be expected to behave in accordance with Tearfund’s ‘Code of Conduct’ as referred to in the Personal Conduct Policy.

KEY RESPONSIBILITIES
 Logistics Support
     Support Logistics Officer in organising in-house meetings, workshops and seminars.
     Manage log books of office stationery and supplies and their use by staff according to internal procedures
     Support the Logistics Officer in organising airport picks and accommodation and ensure they are at ease and settled in. Provide logistics support in facilitating trips for visitors.
     Ensure proper functioning of utilities like telephone, electricity, internet and water and if there was a problem then in liaison with Logistics coordinate the repairs.
     Support the HR Officer in monitoring tasks assigned to cooks, cleaners and guards.
     in Liaison with Logistics and Finance coordinate the payment of utilities such as water, electricity, internet etc.
Finance Support
     Supporting Finance in banking transactions
     Supporting finance in basic book keeping and filling as requested.
     Collecting Time Sheet from employees and liaise with concerned departments for verification and record keeping.
     In liaison with Finance and HR coordinate the monthly payments of Provident fund and Citizen Investment Trust.
Administration
     Serve as first point of contact for all visitors to the Tearfund Nepal office
     Deal with queries or requests from visitors and employees related to office administration.
     Perform services such as typing, faxing, scanning, photocopying, translating etc.
     Providing secretariat support to CD/DCD/Response Manager when consigned.
     Maintain record and dispatch of magazine/official letter/documents.
     Perform any other task or duty assigned by management reasonably and lawfully incidental to above.
